Booking Terms

These Booking Terms apply to appointments and treatments booked with The Beam Room Berkshire.
I want booking your treatments to be as straightforward as possible, so please take some time to read these terms before making an appointment. They explain how bookings, deposits, payments, cancellations, treatment courses and other appointment arrangements work.
By making a booking, you agree to these Booking Terms.
1. Booking an Appointment
The Beam Room Berkshire operates by appointment only and I am unable to accommodate walk-ins.
Appointments can be booked through my online booking system, Timely, or by contacting me directly.
All appointments require a 25% deposit.
Your appointment is not confirmed until the required deposit has been received. If you contact me directly to arrange an appointment, I will provide details of how to pay your deposit.
Bookings are subject to availability.
2. Consultations & Patch Tests
If you are a new laser hair removal client, an in-person consultation and patch test are required before treatment.
Your consultation gives me the opportunity to understand what you would like to achieve, assess the proposed treatment area, discuss your medical history and any relevant medications, explain the treatment process and determine whether laser hair removal is suitable for you.
Where possible, you will receive a consultation form before your appointment. Please complete this before attending so that I have the information needed to carry out your consultation.
Preparing for Your Consultation
Please leave some visible hair growth in the area you would like treated so that I can properly assess the colour and characteristics of the hair.
You do not need to shave the whole treatment area before your consultation. I will shave the small area required for your patch test during your appointment.
The proposed treatment area must also be free from:
Active or recent tanning that would make treatment unsuitable
Fake tan
Active skin conditions or irritation that would prevent safe assessment or patch testing
If I am unable to carry out an appropriate assessment or patch test because of the condition of the treatment area, your appointment may need to be postponed and rearranged.
Please contact me before attending if you are unsure whether anything may affect your appointment.
3. Patch Testing & Your First Treatment
A successful patch test must normally be completed at least 48 hours before your first laser hair removal treatment.
This period allows the treated area to be appropriately assessed before proceeding with a full treatment.
There may be a limited exception for a micro treatment area, where the treatment itself may be suitable to act as the patch test. This can only be determined during your consultation after I have assessed your suitability and seen the size and area to be treated.
For this reason, treatment on the day of your consultation cannot be guaranteed. Please attend expecting to have your consultation and patch test only. I will let you know during your appointment if a micro-area treatment can appropriately be carried out.
4. Suitability for Treatment
Your suitability for laser hair removal will be assessed during your consultation.
There are circumstances in which treatment may need to be delayed, adapted or may not be suitable.
It is important that you provide complete and accurate information during your consultation, including relevant information about your health, medical history, medications and anything else that may affect treatment.
Before each subsequent treatment, you will be asked to confirm whether anything has changed since your previous appointment.
Please tell me about any relevant changes, including changes to:
Your health or medical circumstances
Medications or supplements
Your skin or the treatment area
Sun exposure or tanning
Fake tan
Any reaction following a previous treatment
Anything else that you believe may affect your suitability for treatment
If you are unsure whether a change is relevant, please tell me so that I can assess it.
Your safety will always take priority over proceeding with an appointment.
5. Deposits & Payment
A 25% deposit is required when booking an appointment.
Your booking is not confirmed until the deposit has been received.
Unless you have prepaid for the treatment as part of an eight-session course, the remaining balance is payable at your appointment and must be paid before you leave.
The Beam Room Berkshire accepts card payments only.
Prices applicable to your treatment will be made clear before booking.
6. Changing or Rescheduling an Appointment
I understand that plans sometimes change.
If you need to rearrange your appointment, please give me at least 48 hours' notice.
Where at least 48 hours' notice is provided, your existing deposit will be transferred to your rearranged appointment.
If less than 48 hours' notice is provided, the cancellation provisions below may apply.
Please contact me as soon as possible if you know that you will be unable to attend.
7. Cancelling an Appointment
If you cancel an appointment with less than 48 hours' notice, your booking deposit may be retained to reflect the time reserved for your appointment and losses reasonably arising from the late cancellation.
Where I am able to avoid or reduce my loss, for example by filling the appointment with another client, this will be taken into account where required.
Cancellation charges and retained deposits will not exceed what I am reasonably entitled to retain under applicable consumer law.
Any statutory cancellation rights you may have are unaffected.
8. Missed Appointments & No-Shows
If you do not attend your appointment and have not contacted me to cancel or rearrange it, this will be treated as a no-show.
Your deposit may be retained in accordance with the cancellation provisions above.
Following a no-show, I may require full payment in advance before confirming another appointment.
This requirement is intended to protect appointment time that has been specifically reserved for you.
9. Late Arrivals
Please arrive on time for your appointment.
If you arrive late, the time available for your treatment may need to be reduced.
I will not rush your treatment or skip the necessary pre-treatment consultation, checks or safety procedures in order to make up for lost time.
Depending on how late you arrive and the treatment booked, I may be unable to complete all or part of your treatment safely within the remaining appointment time.
If there is insufficient time to carry out the treatment appropriately, the appointment may need to be rearranged.
10. When Treatment Needs to Be Postponed
There may be occasions when it is not appropriate to carry out your treatment as planned.
This could include changes to your health or medication, tanning or sun exposure, fake tan, an active skin condition or another circumstance that affects your suitability for treatment.
Where treatment needs to be postponed, the appointment will need to be rearranged for an appropriate later date.
If you subsequently decide to cancel rather than rearrange, any deposit already paid will be dealt with in accordance with the cancellation provisions in these terms, taking into account the circumstances and any loss reasonably incurred.
If you are unsure before your appointment whether something may prevent treatment, please contact me as soon as possible.
11. Pay-As-You-Go Treatments
You are welcome to pay for your treatments individually on a pay-as-you-go basis.
I do not believe clients should be financially disadvantaged because they prefer, or need, to pay for their treatments individually rather than paying for a full course upfront.
For this reason, the individual treatment price is the same whether you pay as you go or prepay for an eight-session course.
You are under no obligation to prepay for a course.
12. Prepaid Eight-Session Courses
If you prefer, you can prepay for a course of eight treatment sessions.
Prepaying for eight sessions does not provide a discount compared with paying for those treatments individually. It is simply an option for clients who prefer to pay for their planned course upfront.
The number of treatments you ultimately require can vary, and purchasing an eight-session course does not guarantee a particular result.
Appointments within a prepaid course remain subject to these Booking Terms, including the cancellation, rescheduling and suitability provisions.
13. Ending a Prepaid Course
If you decide that you no longer wish to continue a prepaid eight-session course, please contact me.
Any treatments you have already received will be charged at their normal individual treatment price.
The starting point for calculating any refund will be the amount you paid for the course, less the normal price of treatments you have already received.
Any further amount retained will only reflect losses I am reasonably entitled to recover as a direct result of the cancellation, including any applicable late-cancellation amount for an appointment already reserved.
I will not charge you twice for the same loss.
Any remaining refundable balance will then be returned to you.
Your statutory consumer rights are unaffected.
14. Becoming Medically Unsuitable During a Course
Sometimes circumstances can change during a course of laser hair removal.
If you believe you have become medically unsuitable for further treatment, I will need to assess the change before deciding whether treatment should continue.
This may require a consultation appointment and, where appropriate, further information may be needed before I can confirm your suitability.
If I determine that you have become unsuitable for further laser hair removal through no fault of your own and treatment cannot appropriately continue, you will be entitled to a refund for the unused treatments in your prepaid course.
If the reason for your unsuitability is temporary, you can choose either to discuss the appropriate refund or, where suitable, leave the unused balance on your account until you are able to resume treatment.
Treatment will only recommence when I am satisfied that it is appropriate to do so.
15. Combination Treatments
I offer selected combination treatments, which allow multiple specified treatment areas to be treated during the same appointment with a 20% saving compared with booking those areas separately.
The saving applies only to the specific treatment areas included within the combination described at the time of booking.
Only the areas listed within that combination will be treated.
All treatment areas forming part of the combination must be treated within the same appointment.
A combination cannot be divided so that individual areas are treated at separate appointments while retaining the combination price.
If you would like to change the areas being treated, please speak to me so that I can advise you of the appropriate treatment option and price.
16. Refunds & Transfers
Any request for a refund or transfer will be considered in accordance with these Booking Terms, the circumstances of the request and your statutory consumer rights.
Treatments that have already been provided are not refundable simply because you decide not to continue with further treatment.
Unused prepaid treatment balances will be handled in accordance with the relevant sections above.
Treatment purchases, courses and balances are intended for the client for whom they were purchased. Any request to transfer an unused treatment or balance to another person must be discussed with me first and will be considered where appropriate, taking into account treatment suitability and applicable consumer rights.
Nothing in these terms limits any right to a refund or other remedy that you have under consumer law.
17. If I Need to Cancel Your Appointment
Occasionally, circumstances outside my reasonable control may mean that I need to cancel or rearrange an appointment.
If this happens, I will contact you as soon as reasonably possible.
Your deposit or prepaid treatment will be transferred to the rearranged appointment.
If I cancel your appointment and you do not wish, or are not reasonably able, to rearrange it, any payment you have made for that appointment will be refunded.
I will not retain payment for a treatment that I have cancelled and have not provided where you are entitled to a refund.
18. Bookings Made Online or at a Distance
If you make a booking online through Timely or arrange and pay for a service remotely, additional consumer cancellation rights may apply.
Where applicable, you may have a statutory 14-day cancellation period beginning when the contract is made.
If you ask me to provide a service during a statutory cancellation period, additional rules may apply to the amount payable if you subsequently exercise your cancellation right after the service has begun.
Where the service has been fully performed during the cancellation period following the necessary request and acknowledgement from you, your statutory right to cancel may end once the service has been fully provided.
Information about any statutory cancellation right that applies to your booking will be provided as required.
These statutory rights are separate from my normal 48-hour appointment cancellation and rescheduling policy and nothing in these Booking Terms is intended to remove or restrict rights given to you by law.
19. Treatment Results
Laser hair removal is intended to achieve long-lasting hair reduction, but individual results vary.
Factors including hair characteristics, treatment area, individual response, hormonal influences and adherence to your treatment schedule can affect your results.
Most clients will require a course of treatments and some clients may require future top-up treatments to maintain their results.
Purchasing an individual treatment or course does not guarantee complete or permanent hair removal or any particular result.
I will always aim to give you honest and realistic advice about what you can reasonably expect.
20. Your Consumer Rights
Nothing in these Booking Terms affects your statutory rights as a consumer.
If any provision of these terms conflicts with a right that cannot legally be excluded or restricted, your statutory rights will take priority.
21. Changes to These Booking Terms
I may update these Booking Terms from time to time to reflect changes to my services, booking arrangements or applicable requirements.
The version that applies to your booking will be the version made available to you when your booking is made, subject to any changes that are required by law or that you subsequently agree with me.
The latest version will be available on The Beam Room Berkshire website.
